Your school profile is the foundation of everything Edustream generates on your behalf — from the logo that appears on report cards and fee receipts to the name and motto printed on official letterheads. Completing your profile before inviting staff or enrolling students ensures that every document, broadcast, and parent-facing portal looks polished and professional from day one. To access your school profile, sign in as a Super Administrator or School Administrator and locate the settings panel.

Open the Settings menu

From the main dashboard, click the Settings icon in the left sidebar. The settings panel opens with a list of configuration sections.

Select School Profile

Under the General section, click School Profile. The profile editor loads with all current values pre-filled (or blank if this is a fresh setup).
Only users with the Super Administrator or School Administrator role can view and edit school profile settings. Teachers, parents, and students do not have access to this section.

Enter Your School’s Core Details

The core details section captures the identifying information that appears across printed and digital outputs throughout Edustream.

Enter the school name

Type your school’s full official name in the School Name field. This name appears on report cards, fee invoices, broadcast emails, and the parent/student portal header. Use the name exactly as it should appear on official documents.

Add a school motto

Enter your school’s motto in the Motto field. The motto is displayed beneath the school name on report card headers and letterheads. If your school does not have a motto, you may leave this field blank.

Select a school type

Open the School Type dropdown and choose the option that best describes your institution. Available types include:
  • Creche — early childhood care (typically ages 0–2)
  • Nursery — pre-primary education (ages 2–4)
  • Primary — foundational schooling (ages 5–11)
  • Secondary — post-primary education (ages 11–18)
  • Nursery & Primary — combined pre-primary and primary
  • Primary & Secondary — combined primary and secondary
Edustream uses the school type to tailor certain defaults, such as grading terminology and class-naming conventions.

Fill in contact details

Complete the remaining contact fields:
  • Address — your school’s full physical address, including street, city, and state.
  • Phone Number — the primary contact number for the school.
  • Email Address — the official school email (used as the reply-to address on broadcasts and system notifications).

Your school logo is embedded automatically into report cards, fee receipts, and official letterheads. Uploading a high-quality logo ensures your documents look sharp across all formats.

Click the logo upload area

In the School Logo section, click the upload box (or drag and drop a file onto it). A file picker dialog opens.

Select your logo file

Choose a PNG or JPEG file from your computer. For best results across all printed and digital outputs, use a file that meets these guidelines:
  • Format: PNG with a transparent background (preferred) or JPEG
  • Dimensions: At least 300 × 300 px (square or near-square)
  • File size: Under 2 MB

Crop and confirm

If Edustream presents a crop tool, adjust the framing so your logo is centred and fully visible within the preview circle, then click Apply. The logo preview updates immediately.
A PNG logo with a transparent background looks best on report cards and letterheads because it blends cleanly with any background colour. Avoid logos with large white borders — they can appear misaligned on coloured document headers.

Set Up Custom Branding (Enterprise Plan)

Enterprise plan subscribers can go beyond the default Edustream interface to present a fully white-labelled experience — a custom domain, a standalone Progressive Web App (PWA), and a personalised colour theme.
The features in this section are available exclusively on the Enterprise plan. If you are on a lower tier, these settings will appear as locked. Contact Edustream Sales to discuss an upgrade.

Custom Domain

A custom domain replaces the default yourschool.edustream.app URL with your own domain (e.g., portal.greenfieldsacademy.edu).

Navigate to Custom Domain settings

Within School Profile, scroll to the Branding section and click Custom Domain.

Enter your domain

Type your desired domain or subdomain into the Domain field (e.g., portal.greenfieldsacademy.edu). Do not include https://.

Add the DNS record

Edustream will display a CNAME record that you must add to your domain’s DNS settings through your domain registrar (e.g., GoDaddy, Namecheap, Cloudflare). Copy the provided values:

DNS propagation typically takes between 15 minutes and 48 hours.

Verify and activate

Return to Edustream and click Verify Domain. Once verification succeeds, Edustream automatically provisions an SSL certificate and activates your custom URL.

PWA App Identity

The PWA settings let you define how Edustream appears when parents and students install it as an app on their phone’s home screen.

Set the app name

Enter the name you want displayed beneath the app icon on a user’s home screen in the App Name field (e.g., “Greenfields Portal”). Keep it concise — most devices truncate app names beyond 12–15 characters.

Upload a PWA icon

Click Upload App Icon and provide a square PNG image. The recommended size is 512 × 512 px. This icon appears on users’ home screens and in browser tabs when the app is installed.

Choose a colour theme

Click the colour swatch next to Theme Colour and select your school’s primary brand colour. This colour tints the browser toolbar and splash screen when users open the installed app.

Save and Preview Your Changes

Save your profile

After completing all sections, click the Save Changes button at the bottom of the School Profile page. Edustream displays a confirmation banner: “School profile updated successfully.”

Preview a report card header

Navigate to Reports → Preview (or generate a sample report card for any enrolled student) to see your logo, school name, and motto rendered exactly as they will appear on official documents.

Check the parent portal

Open your school’s portal URL in a new browser tab (or incognito window) to verify that your logo and school name appear correctly in the portal header. If you have activated a custom domain, use that URL to confirm the end-to-end experience.
