# Generate and Share Student Report Cards in Edustream

> Generate print-ready PDF report cards for an entire class or individual students, upload signatures, and share results digitally with parents in seconds.

Edustream turns term-end results into polished, professional report cards with a single click. Once your teachers have entered all scores and behavioral remarks, the system compiles every data point — subject scores, grades, positions, class averages, affective domain ratings, teacher comments, and principal's remarks — into a pixel-perfect PDF that is ready to print or share digitally with parents the moment it is generated.

## Prerequisites

Before generating report cards, confirm the following are complete for the relevant term:

    Every subject teacher must have saved both CA and Exam scores for all students in the class. Blank scores will appear as zero on the report card.

    The form teacher must have filled in all behavioral/character trait ratings for each student in the class.

  <Card title="Teacher Remarks Written" icon="comment">
    Each subject teacher's comment and the form teacher's general remark should be saved in the gradebook before generation.

  <Card title="Principal's Remarks Ready" icon="user-tie">
    The principal's standard remark for the term should be entered in **Settings → Report Cards → Principal's Remarks** so it appears on every card.

  Run the **Completeness Check** from the Report Cards page before generating. Edustream scans the entire class and flags any student who is missing scores, remarks, or affective domain entries, so you can chase up teachers before publishing results.

## Generating Report Cards

### Generate for an Entire Class

<Steps>
  <Step title="Navigate to Report Cards">
    Go to **Academics → Report Cards** and select the **Class**, **Term**, and **Academic Year** from the filter dropdowns at the top of the page.
  </Step>

  <Step title="Review the Student List">
    Edustream displays every student enrolled in the selected class. Verify the count matches your expected class size.
  </Step>

  <Step title="Click Generate All">
    Click the **Generate Report Cards** button. Edustream processes all student records simultaneously and produces individual report cards for every student in the class.
  </Step>

  <Step title="Download the Batch PDF">
    Once generation is complete (typically within a few seconds), click **Download All as PDF**. Edustream bundles every student's report card into a single paginated PDF file, ordered alphabetically, ready for printing.

### Generate for an Individual Student

    From **Academics → Report Cards**, use the search bar to find the specific student by name or student ID.

  <Step title="Generate the Single Card">
    Click **Generate** next to the student's name. Edustream compiles only that student's report card.

    A preview of the report card opens in a side panel. Click **Download PDF** to save the file, or proceed to share it directly with the student's guardian (see [Sharing with Parents](#sharing-report-cards-with-parents) below).

## What the Report Card Contains

Every Edustream report card includes the following sections, automatically populated from your academic records:

    * Teacher's signature (uploaded image, embedded in the card)

    * School stamp (optional, configured in settings)

## Uploading Signatures

Signatures are embedded directly into the PDF so printed report cards look official without requiring manual signing on each sheet.

### Upload the Principal's Signature

    Navigate to **Settings → Report Cards → Signatures**.

  <Step title="Upload the Principal's Signature">
    Click **Upload Signature** under the **Principal** section. Select a clear PNG or JPEG image of the signature (transparent background recommended for best results). The image is cropped and scaled automatically.
  </Step>

  <Step title="Preview the Placement">
    Use the **Preview** button to see how the signature will appear on a sample report card. Confirm the size and positioning look correct.

  <Step title="Save">
    Click **Save**. The signature is now applied to all subsequently generated report cards school-wide.

### Upload a Teacher's Signature

    Each teacher uploads their own signature from **My Profile → Signature**.

  <Step title="Upload the Image">
    Click **Upload Signature**, select the image file, and save. Edustream applies the teacher's signature to all report cards generated for their form class.

<Note>
  Signature images are stored securely and are never shared outside of official Edustream-generated documents. Teachers can update their signature at any time from their profile — the new signature applies to all future report card generations.

## Printing to PDF

Edustream report cards are designed with a pixel-perfect layout that produces clean, professionally formatted printed pages.

    From the Report Cards page, click **Download All as PDF** (for the full class) or **Download PDF** (for an individual student).

  <Step title="Open in Your PDF Viewer">
    Open the downloaded file in any standard PDF viewer such as Adobe Acrobat, Preview (macOS), or your browser's built-in viewer.
  </Step>

  <Step title="Print">
    Select **File → Print** and choose your printer. Use **A4** paper size in **portrait** orientation. Edustream lays out exactly one report card per page, so the print count matches your class size.

<Tip>
  For the sharpest print quality, set your printer to at least **300 DPI** and disable "fit to page" scaling so the layout prints at its intended dimensions.

## Sharing Report Cards with Parents

Edustream gives you two convenient ways to get report cards into the hands of parents without printing a single sheet.

### Share via a Direct Link

    Generate the individual student's report card as described above.

  <Step title="Copy the Share Link">
    Click **Share** next to the student's generated report card. Edustream creates a unique, secure link valid for 90 days.
  </Step>

  <Step title="Send the Link">
    Copy the link and send it to the student's guardian via SMS, WhatsApp, email, or any other messaging channel. The guardian opens the link in any browser — no app installation required.
  </Step>

### Parent Portal Access

Parents who have created a guardian account and are linked to the student in the registrar can log in to the **Edustream Parent Portal** and view current and past report cards at any time.

    Confirm the guardian has been added to the student's profile (see [Managing Students & Staff](/features/students-and-staff)) and has a verified guardian account.

  <Step title="Publish the Report Cards">
    On the Report Cards page, click **Publish to Parent Portal** after generation. This makes the cards visible in guardians' portal accounts.
  </Step>

  <Step title="Notify Parents">
    Edustream automatically sends a push notification to all linked guardians when new report cards are published, prompting them to log in and view the results.
  </Step>

  Report cards published to the parent portal are view-only. Guardians can read and download their child's card but cannot edit any information. If a correction is needed, update the scores in the gradebook, regenerate the report card, and re-publish.
